At Arizona Cattle Growers’ Association we protect, promote, and sustain Arizona cattle ranching for present and future generations through grassroots advocacy, policy formation, and education.

The Arizona Cattle Growers is currently accepting applications for a full-time Administrative Assistant. The Administrative Assistant acts as the primary receptionist for the organization and will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include but are not limited to providing support to our members, staff, executive office, and board of directors.

Duties & Responsibilities

·        Greet clients politely and professionally to make them feel comfortable, both in person and over the phone.

·        Maintain front desk and verify that orders are placed as necessary to ensure necessary supplies are available at all times

·        Maintaining office equipment by troubleshooting malfunctions, calling for and expediting repairs to ensure equipment is operational

·        Manage and organize the association schedule using outlook calendar, zoom, and other platforms

·        Plans, schedules, and coordinates meetings, including the scheduling and preparation of meeting rooms for in-person and remote

·        Makes travel arrangements for staff and executive officers such as booking flights, cars, and hotel or restaurant reservations.

·        Provide essential details to potential members and current members, by answering questions and requests.

·        Ensure membership information is current and up to date with accurate maintenance of  the membership database

·        Write and distribute email, correspondence memos, letters, faxes and forms for membership renewals, expired and recruitment of new members

·        Maintains the inventory and sales of association merchandise

·        Alert the management of potential security issues

Knowledge, Skills & Abilities

·        Exceptional organizational skills: detail-oriented, able to prioritize strategically, and effectively juggle multiple projects simultaneously.

·        Excellent communication skills, both verbal and written, and interpersonal skills.

·        High integrity and professionalism, respecting the confidential nature of donor information.

·        Basic math and accounting skills

·        Critical thinking, evaluation, and analytical skills

·        Working knowledge of office equipment, like printers and fax machines

·        Proficiency with QuickBooks and Microsoft

·        Excellent time management skills and the ability to prioritize work

·        Attention to detail and problem-solving and decision-making skills

·        Excellent knowledge of office and administrative procedures and policies.

·        Skill in developing and maintaining good working relationships.

·        Ability to coordinate marketing materials and department website.

·        Ability to work independently and as part of a team.

·        Knowledge of the agricultural and cattle industry

Education and Experience Requirements

·       Minimum high school diploma or GED

·       Two years working in the service or administrative industry preferred

This is a fully on-site role and is not available for remote or hybrid remote work schedules.
